Handoff Template

Handoff templates that capture what was fitted, what was tested, and what the next shift needs to know.

How the Handoff Template works in a live shop week

The Handoff Template page sets out what must be recorded when a cutting cell or tooling passes from one team to the next. Use it to note what was fitted, what was tested, and what the incoming shift needs to watch before production carries on.

Record the machine name, tooling stack, and the last job cut before the changeover. Note whether the handoff happened after blade replacement, nest correction, or sensor cleaning. In Gauteng dust or coastal humidity, add what was wiped down, re-greased, or left for the next crew to inspect.

Attach photos taken at handover, not after the next run has started. Show the fitted consumables, guard position, and any wear line on guides or belts. A useful handoff note also states what failed first, what was reset, and which check piece is sitting by the cell.

Shift-change details that matter

The template creates one record for fitment, test cuts, and outstanding risks. It gives the incoming team a clean list of offsets, alarms, and parts still under watch. Use machine terms the operators recognise, rather than purchase wording from the office file.

Pair the Handoff Template with the correct job record before sending it through the contact form. Include the tooling set name, time of handover, and any part rejected during testing. Where a sheet pack or blade cassette was swapped, state which one came off and what was fitted in its place.

  • Machine and tooling identified clearly
  • Test piece result written down

Shop conditions worth recording

Add the site and handover window if transport, power interruptions, or shared loading bays affect restart plans. A cutting cell in Johannesburg may need different watch points from one near Durban where corrosion shows sooner. If the line is mid-order, separate urgent production from checks that can wait for the next maintenance stop.

Power loss can wipe temporary settings, so write down any value re-entered at startup. Dust build-up near sensors, vacuum lines, and guide rails should be listed if cleaning was done during the shift. Where coolant, extraction, or lubrication was behaving oddly, state what was observed rather than leaving a vague warning.

How this template is used

Complete the handoff template with site photos, timing, and any item already failing. Make the subject line match the machine or tooling set.

Complete the Handoff Template before memory fills the gaps between teams. File it with the resource note for that machine or tooling set so later checks match what was actually fitted and tested. When a supervisor reviews a stoppage or damaged edge, this record shows what changed at the handover point.
